Capacities is a note-taking and knowledge management app that takes a different approach to organizing information.
Instead of relying on traditional folders, it uses interconnected objects to manage notes, projects, images, and other content.
It also offers daily notes, backlinks, tags, and several useful integrations.
However, what caught my attention was its WhatsApp and Telegram support.
When connected, I can send text messages, images, files, or voice recordings to a dedicated chat, and Capacities automatically saves them to my daily note.
It's almost like having a personal assistant on WhatsApp or Telegram that remembers everything I send.
Setting up the integration takes minutes
Getting started is surprisingly straightforward
One thing I love about Capacities is how simple it makes the setup.
I initially expected to deal with API keys, third-party automation tools, or some complicated workarounds to connect WhatsApp and Telegram.
Thankfully, none of that is necessary. Both are officially supported integrations, and it takes just a few minutes to get them up and running.
I opened Capacities, headed to Settings > Integrations, and selected WhatsApp.
From there, I followed on-screen instructions to connect my account.
I also saved the dedicated Capacities number to my contacts for easy access. Telegram follows a similar process, except it uses a bot instead of a WhatsApp contact.
That's pretty much it. I sent a quick text message and checked my daily note in Capacities to confirm everything was working.

The best part is that everything lands in my Capacities account, ready for me to review and organize when I sit at the desktop.
I don't have to worry about creating separate notes or deciding where to save something in the moment.
This has changed how I capture information throughout the day. WhatsApp and Telegram were already among my most-used apps, and Capacities has cleverly turned them into powerful note-taking tools without disrupting my existing habits.
Capacities is more feature-rich than Google Keep
An all-in-one solution
Another reason I am leaning toward Capacities is its excellent cross-platform availability.
With native apps on all major platforms, I can pick up where I left off on another device without missing a beat.
But Capacities offers more than clever integrations. As a full-fledged note-taking app, it offers more functionality than Google Keep.
I get powerful features like backlinks, graph views, daily notes, calendar integration, and more.
I can even create dedicated objects for my projects, people, and other important information to build a personalized knowledge management system.
Google Keep feels basic in comparison. While I still appreciate its simplicity, Gemini integration, color-coded notes, checklists, and reminders, it doesn't offer the same organizational depth.
With Capacities, I feel like I am getting the best of both worlds.
I have the convenience of capturing quick notes through my favorite messaging apps (although I would love to see support for Messages and Messenger in future updates) and the flexibility of a robust PKM tool when I need to organize everything properly.
A smarter approach to everyday notes
Google Keep isn't a bad note-taking app by any means. It's still one of the best options for quickly jotting down ideas.
However, with Capacities' social media integration, I can save practically anything in seconds.
Whether I am working on the Windows desktop or scrolling through my Samsung Galaxy S25 Ultra, my notes are just a message away.
It's a small change on paper, but it's made a massive difference to my workflow.
I still appreciate everything Google Keep brings to the table, but after experiencing this level of convenience, I find myself reaching for Capacities more often.
